Job Summary

The Project Administrator for Dance Lab is essential in supporting the daily operations and management of the Dance Lab program. This role enhances program efficiency by providing comprehensive administrative support to the Executive Director. The position demands excellent organizational skills, a proactive approach, and the ability to manage multiple tasks, ensuring seamless communication and coordination among team members and stakeholders.

Key Responsibilities:

℘ Administrative Support: Assist the Executive Director with scheduling, calendar management, and organizing meetings, ensuring all appointments and events are efficiently coordinated.

℘ Communication Management: Handle correspondence, including drafting and proofreading emails, letters, and reports. Serve as a liaison between the Executive Director, staff, participants, and external stakeholders.

℘ Record Keeping: Maintain accurate and up-to-date records, including program documentation, participant information, and financial records. Ensure confidentiality and security of sensitive information.

℘ Program Logistics: Support the planning and execution of Dance Lab events and activities. Assist with venue arrangements, equipment setup, and coordination with vendors.

℘ Budget and Financial Tracking: Help with tracking expenses, processing invoices, and preparing budget reports. Ensure adherence to budgetary constraints and assist in financial documentation.

℘ Event Planning: Aid in the organization and logistics of events, including preparing materials, coordinating schedules, and managing on-site operations.

℘ General Office Duties: Perform general office tasks such as filing, data entry, and office supply management to ensure an organized and efficient workspace.

Qualifications:

℘ Proven experience in an administrative support role, preferably in a nonprofit or arts organization.

℘ Excellent organizational and multitasking skills with attention to detail.

℘ Strong written and verbal communication skills.

℘ Proficiency in office software and technology.

℘ Ability to work independently and as part of a team in a fast-paced environment.

Key Responsibilities:

℘ Administrative Support: Assist the Project Administrator with scheduling meetings, preparing reports, and handling communications related to the Dance Lab program. Manage documentation and maintain organized records of program activities.

℘ Coordination Assistance: Support the planning and coordination of Dance Lab activities, including helping to arrange logistics for events, coordinating with vendors, and ensuring all program requirements are met.

℘ Logistics Support: Assist with logistical tasks such as preparing materials and supplies for workshops, coordinating transportation and accommodation arrangements for staff and guests, and managing on-site operations during events.

℘ Budget Tracking: Help track and manage budget-related tasks by processing invoices, monitoring expenses, and maintaining financial records. Provide updates on budget status as needed.

℘ Problem Solving: Aid in identifying and resolving issues that arise during program execution, working closely with the Project Administrator to ensure timely and effective solutions.

℘ Communication: Act as a liaison between the Project Administrator, staff, and external stakeholders, facilitating clear and effective communication to support program goals.

Job Summary

The Project Administrator for the Community Dance Showcase (CDS) is responsible for overseeing all aspects of the planning, coordination, and execution of the showcase. This role requires an organized, detail-oriented individual who can manage multiple tasks simultaneously and work closely with artists, volunteers, and community partners. The Project Administrator will ensure that the showcase is executed seamlessly, meets its artistic and community engagement objectives, and aligns with the overall mission of the organization.

Key Responsibilities:

℘ Event Planning and Coordination: Develop and manage the overall plan for the Community Dance Showcase, including scheduling, venue selection, artist outreach, and logistics. Ensure that all elements of the event are on track for a successful execution.

℘ Artist and Performer Liaison: Serve as the primary point of contact for all participating artists and performance groups. Coordinate rehearsal schedules, technical requirements, and other logistical needs to ensure smooth participation.

℘ Volunteer Management: Recruit, train, and manage volunteers to support various aspects of the event, including backstage management, guest services, and other event-day operations.

℘ Logistics and Operations: Oversee all logistical aspects of the showcase, including setup, breakdown, and day-of-event operations. Ensure that all technical requirements, such as lighting, sound, and stage management, are met.

℘ Event Evaluation: Conduct post-event evaluations to assess the success of the showcase. Collect feedback from participants, volunteers, and audience members to identify areas for improvement.

℘ Collaboration with Executive Director: Work closely with the Executive Director to align the event with the organization’s mission and strategic goals. Assist in executing any additional plans or initiatives related to the showcase.

℘ Community Engagement: Foster strong relationships with local community groups, cultural organizations, and schools to encourage participation and support for the showcase.

 

Qualifications:

℘ Proven experience in event or project management, preferably within the arts or community engagement sectors.

℘ Strong organizational and leadership skills, with the ability to manage multiple tasks and deadlines.

℘ Excellent communication and interpersonal skills.

℘ Experience in budgeting and financial management.

℘ Familiarity with the performing arts, particularly dance, is an asset.

℘ Ability to work flexible hours, including evenings and weekends, as needed.

Key Responsibilities:

Social Media Management:

Develop and execute social media strategies across platforms (Facebook, Instagram, Twitter, LinkedIn).

Create and manage engaging content (graphics, videos, posts) that aligns with the organization’s brand.

Monitor social media performance using analytics tools and adjust strategies to optimize engagement.

Content Creation:

Design and produce marketing materials such as flyers, posters, newsletters, and email campaigns.

Maintain and update the organization’s website, ensuring content is current and visually appealing.

Digital Marketing:

Implement digital marketing campaigns, including paid advertising, to increase visibility and attract new audiences.

Optimize website content for search engines (SEO) to drive traffic.

Event Promotion:

Create and implement promotional strategies for upcoming events.

Coordinate with event organizers to align promotional efforts with event goals.

Collaboration:

Work closely with the Executive Director and program coordinators to align marketing strategies with organizational goals.

Act as the main point of contact for external media inquiries and partnerships.

Audience Engagement:

Engage with followers on social media, respond to inquiries, and build a strong online community.

Identify opportunities to expand the organization’s audience base, particularly within underserved communities.

Qualifications:

Experience in social media management, digital marketing, and content creation.

Strong understanding of SEO, social media algorithms, and analytics tools.

Proficiency in graphic design tools (e.g., Adobe Creative Suite) and content management systems (e.g., WordPress).

Experience in nonprofit marketing or the arts is a plus.
